The IT Project Coordinator plans, directs, and coordinates the activities of Information Technology projects under the guidance of the Executive Director and Vice President for Information Technology to ensure the successful achievement of project goals and objectives within the designated time frame and budget constraints. This role involves performing the following duties personally or through collaboration with others.

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Reviews and analyzes project proposals and documents to determine time frame, funding, procedures for accomplishing the project, staffing requirements, and resource allocation for various phases of the project.
  • Establishes work plans and resources for each phase of the project, arranging for the assignment of project personnel and deadlines.
  • Coordinates with project staff to outline work plans, assign duties and responsibilities.
  • Coordinates activities of project personnel and vendors to ensure project progresses on schedule and within the budget.
  • Prepares detailed project reports for management and other stakeholders, highlighting progress, risks, and recommendations.
  • Conducts regular assessments and inform ED/VP of any potential risk to the projects
  • Process project change requests, ensuring all changes are documented and communicated effectively. In addition, maintains project documentation, including project plans, schedules, budgets, and post-project evaluations.
  • Facilitates and presents at project meetings and ensures clear communication and alignment among stakeholders.
  • Research and recommends best practices to ensure projects are process and procedure-driven by organizational needs.
  • Utilizes project management software and tools to track project progress and performance. 
  • Stays current with industry trends, best practices, and emerging technologies relevant to project management and IT. 
  • Other duties as assigned

Qualifications

ATTRIBUTES AND SKILL SETS:

  • Proven experience in IT project coordination or management.
  • Excellent organizational, analytical, and problem-solving skills.
  • Ability to exercise judgment in analyzing, appraising, evaluating, and solving problems of a difficult procedural or technical nature.
  • Aptitude for creativity, innovation, and learning new technology.
  • Must possess excellent communication (oral and written) and problem-solving skills.
  • Willingness to handle a wide range of IT responsibilities, including user support functions.
  • Advanced skills with project management tools, including Microsoft Project, Word, Excel, and PowerPoint.
  • Certification in project management (e.g. PMP) is a plus.
  • Proven ability to manage multiple tasks, stay organized, and effectively handle shifting priorities in a dynamic work environment

EDUCATION AND EXPERIENCE:

  • Bachelor’s degree in business, computer science, information technology, business management, or a related field is required. 
  • Three years of overall IT experience is preferred, with two years of current hands-on project management experience required.
