This candidate should be detail oriented and self-motivator to effectively manage priorities and to ensure smooth functionality of the office. *Training will be provided for best applicant. Office hours 8:30AM to 5:00PM Mon – Fri   Full-time temporary Receptionist/file clerk Job Responsibilities:  Priorities include: answering phones and call directing; preparations for and greeting clients and guests; notification of guest arrival;  providing general (in-house) law office clerical support; being first point-of-contact for building services, vendors and account holders; maintaining supply areas and placing vendor orders. Multi-tasking is involved.  In a supporting role to staff, legal secretary, and attorneys the Receptionist/file clerk utilizes a PC computer (Word, Excel, and Outlook), and database. The selected candidate will operate basic office equipment.  General Law office clerical support involves: maintaining a variety of confidential correspondence and records, creating files, retrieving records, and appropriate placement of new data to existing files. Expectations include coding materials, utilizing existing filing systems, copying and distributing materials, preparations for out of office meetings and conferences, minimal lifting, and other duties as assigned.   Receptionist/file clerk Job duties:   Follow office opening procedures beginning at 8:30am Monday – Friday, and manage attendance and emergency rosters. Greet and welcomes guests and clients in-person, or on telephone, and direct inquiries appropriately. Notify appropriate personnel of guest arrival. Prepare conference room for meetings. Notate hard-copy office calendar as directed. Answer, screen, and direct calls and faxes. When taking messages, send notification emails, and follow-up in-person with appropriate attorney or staff as necessary. Distribute mail and send mail for delivery. Log, copy, and notify lawyer, legal secretary, or staff of important documents received. Send emails; print, copy and file emails and correspondence. Provide administrative and organizational support for out of office meetings or conferences. Maintains client confidence by keeping client/attorney information confidential. Do conflict checks, and open/create new hard-copy files and indexes. Organize client hard-copy files to/in appropriate folders, and filing cabinets. As requested only, send closed-matter files to storage, and retrieve files from storage. General office support (Examples: Locating hard copy or electronic files, or organizing materials).   Organize and file copy projects and research generated by attorneys and legal secretaries.  Keep Copy room, kitchen, and shared areas neat and free of clutter. Order office supplies, reload copier with paper, and restock supply cabinets. Point of contact for building services, vendors, and account holders. Communicate with building management for office cleanliness (especially for visitor areas). Notify and organize, place orders for in-office birthday or other celebrations. Optional but appreciated: pick up weekly staff-appreciation breakfast treat.
