Job Description

About the Position:
We are currently seeking an entry/mid-level Administrative Assistant to support existing teams, programs, and processes across multiple offices. This individual will work both independently and collaboratively with colleagues and senior management on general and project administrative tasks to help streamline and centralize a range of operational activities.
Reporting to the Regional Business Manager and based in our Sacramento office, the Regional Operations Administrative Assistant will:
  • Support key regional programs including Project Management Training, project finance reviews, and Project Safety and QAQC programs:
    • update documents, guidance manuals, training materials
    • help with program implementation including report and presentation preparation, meeting coordination, tracking/auditing ongoing staff training and project compliance, follow-through of identified actions items
  • Provide centralized support for regional events, conference attendance, contract review process:
    • partner with regional admin team on staff and client event planning
    • coordinate logistics for conference attendance including employee registration, travel/hotel accommodations, company-hosted events
    • assist contract review process including routing, tracking, and filing
  • Support leadership across the region for directors and managers as needed:
    • scheduling, meeting coordination and preparation 
    • travel coordination, expense reports
    • tracking/processing requests for leadership’s approval/signature
  • Ensure consistent staff communication and up-to-date organizational documents and tools:
    • maintain regional Intranet page
    • manage publication of quarterly newsletter
    • coordinate routine updates to org charts, distribution lists, supervisor assignments
Skills and Requirements:
Qualified candidates should be highly motivated and well-organized, with excellent written and verbal communication skills, and a proven ability to manage concurrent priorities and deadlines with consistent attention to detail. Confident working in a fast-paced environment, the selected candidate will be a critical thinker, solution-oriented, and a quick learner; flexibility, creativity, and curiosity are essential. A minimum of 2-3 years’ experience working in a business environment, proficiency with all Microsoft Office programs and Adobe Pro are required. Preference will be given to candidates with previous experience in a professional services firm, and with Deltek Vision, Cisco Webex, and Nitro Cloud.
