Job Description


The Senior Executive Assistant provides direct administrative support to the Chief Human Resources Officer (CHRO). The successful candidate must be able to identify and solve problems with minimal supervision, displaying a high degree of initiative, and be able to effectively communicate at all levels within the company. This position works with a high degree of discretion and independence. He/She ensures that the CHRO is made aware of issues that need immediate attention, and handles confidential business matters. The Senior Executive Assistant is responsible for the overall administration of the El Segundo office and provides support to other resident or visiting executives as needed. This position maintains office procedures to allow for optimum results in the areas of responsibility; establishes priorities to ensure efficiency and effectiveness of the office; and manages the duties of the position with a high level of integrity, professionalism, discretion and sensitivity.

Essential Job Functions (Including % of Time for Each)

Under minimal direction, performs a variety of executive administrative support duties that are complex in nature and where judgment and initiative are required in resolving problems and making recommendations.


70% - Provides direct support to the CHRO, to include a wide variety of administrative and clerical functions. Responsible for the administration of calendars, meeting coordination, appointment scheduling, telephone coverage, travel planning, preparation of correspondence, expense reporting/reimbursement. Prepares sensitive or complex documents and forms; creates detailed graphics presentations, charts and spreadsheets. Plans and organizes work and develops procedures to meet requirements. Developing knowledge of the practices and procedures of the Company is essential. 


10% - Provides administrative support as necessary to members of the executive team who reside at or visit the El Segundo office.


10% - Performs non-routine assignments including responding to inquiries, solving problems and locating and summarizing information.


5% - Prepares and maintains sensitive and confidential files and records.


5% - Prepares, types and proofreads reports and memos.


Secondary Job Functions: Reviews and answers inquiries related to the above organization and determines action required. Provides information about company and organization policies. Provides visitors with administrative interface and support.  



High school diploma (or equivalent) and at least 9 years of directly related experience (15+ years of experience preferred), or an equivalent combination of education and experience sufficient to successfully perform the essential duties of this position. Five (5) years of which must have been at the executive support level.


US Citizenship required. Must be able to obtain and maintain a U.S. Security Clearance at the appropriate level (U.S. Citizenship required). Must also be able to satisfy federal government requirements for access to government information, and having dual citizenship may preclude you from being able to meet this requirement.

Additional Requirements:

  • Requires a thorough knowledge of modern office equipment, practices and procedures.
  • Complete proficiency in MS Windows and MS Office, with high level PowerPoint and Excel abilities.
  • Previous experience in fast paced HR environment with potential to move into subsequent HR roles throughout the enterprise.
  • Excellent oral and written communication skills.
  • Ability to understand and interpret pertinent policies and procedures in a clear and accurate manner.
  • Ability to handle the demands of various personality types while maintaining a professional and positive demeanor.


Work Environment/Physical Requirements:

Employees in this position must possess mobility to work in a standard office setting and to use standard office equipment, including a computer; stamina to sit and to maintain attention to detail despite interruptions; may occasionally lift/carry/push/pull up to 15 pounds; may require minimal walking, climbing, stooping, crouching, and/or bending; and vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone. May require the ability to travel by air or auto. May require the use of personal protective equipment such as safety glasses, safety shoes, and shop coat. This position may be expected to work varying shifts and hours to ensure successful operation of activities in the organization.
