Job Description

The Role

We are looking for a motivated Administrative Assistant to join our dynamic Legal group in Fremont, CA. The successful candidate will possess the ability to complete high volumes of tasks and projects quickly, react with appropriate urgency to situations and events that require a quick response and provide administrative support to the Legal Department. This position will manage incoming mail, maintenance/storage of files and other requests, and generally help the legal team run efficiently and smoothly.

Responsibilities

·        Offer administrative support as needed, including (but not limited to) managing calendars, scheduling meetings, photocopying, faxing, mail distribution and filing

·        Facilitate inter-departmental communication by being a liaison between Accounts Payable and Purchasing

·        Familiarity with Serengeti Tracker a plus but not required

·        Arrange traveling details for upper management and assist with travel expenses

·        Coordinate execution of agreements with various business groups

·        Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies

·        Organize and file digital and physical documents on the internal database

·        Complete state renewals for all domestic Tesla corporate entities and Service Contract Provider/Obligor of Service licenses

·        Display a clear sense of priority and achieving quality work under pressure

·        Must be able to maintain a high degree of personal integrity, confidentially, and professionalism

·        Ability to work independently, accurately, and efficiently in performing task or duties as assigned to completion

·        Demonstrated excellent clerical, writing and editing skills, and strong organizational skills

·        Ability to adapt and work in an ever-changing environment.

Requirements

·        Bachelor’s degree preferred, with strong Academic record

·        1+ years’ experience within a Law Firm or In-House Legal department preferred

·        Professional demeanor, strong communication, writing  ,  and presentation skills

·        Good project management skills and ability to work within strict guidelines

·        Proficiency in Word, Excel and PowerPoint

·        Strong calendaring skills

·        Self-direction, ability to prioritize and excellent organizational abilities

·        Desire to work independently and cross-functionally in a fast-paced environment

·        A creative problem solver who is flexible and open to new ideas and new approaches

·        Willingness to work in a truly scrappy environment
