Hospice of the East Bay (HEB) is a community based program of home care for terminally ill patients. Care is given to patients and families by an interdisciplinary group. Bereavement care is provided to the family for one year after the death. Hospice services are given regardless of ability to pay, making the agency dependent on donations and insurance billing to meet operating expenses.

EVENT PLANNING JOB SUMMARY:

Reporting to the VP of Fund Development and Retail Operations, this position will provide support for Agency annual events (e.g. Gala, Tree of Lights, Bruns House dedication events, Legacy Society luncheon) as well as cultivating possible donors and sponsors, and acquiring support form community groups and companies.

 

KEY DUTIES:

  • Work with event volunteers on status check on their activities
  • Maintain event project plans
  • Solicit and follow-up with in-kind gift donors, auction donors
  • Solicit prospective corporate sponsors
  • Follow-up with corporate, business and individual prospective sponsors regarding the details of their gifts and attendees
  • Research possible wine donations
  • Maintain event webpage details and monitor HEB website for accuracy
  • Assist with the management of ticket orders via the website
  • Provide sponsorship and auction item request letters to community groups
  • Support community group fundraising efforts as needed
  • Support event set up
  • Direct event volunteers
  • Plan and deliver successful events as needed
  • Seeks additional funding and sponsorships from commercial and community entities.
  • Works closely with community groups related to fundraising and other events that support Hospice of the East Bay
  • Works with Communications Department to ensure collateral materials are produced accurately
  • Works with community groups to facilitate preparations for their events which benefit Hospice of the East Bay
  • Makes public appearances on behalf of the Agency at community group's meetings and events

 

POSITION REQUIREMENTS:

Must be detailed-oriented, organized and able to coordinate multiple logistics.

Strong writing and interpersonal skills, and ability to interact with persons of all levels.

Project management skills preferable

Ability to multi-task required

Effective administrative skills required

Must be able to transport oneself to required events

 

 

EXPERIENCE AND EDUCATION:

  • Previous event planning experience required
  • High School degree required; college degree a plus
  • Computer proficiency required with strong Microsoft office skills
  • Greater Giving database experience preferred
  • Event management skills
